Directions for Acme team, to implement this change for owners.
When we have a temporary commission reduction, whether during onboarding or for an an existing owner, please:
- Open a ticket called "temporary commission reduction" for the owner
- Send the link to this knowledge base
- In the body of the email, please provide owner the exact terms which are Italicized and underlined below.
- Showing owner start and end date of the reduction period
- Show the amount of the reduction, by providing the old and new commission
- Provide a list of existing reservations which will remain at the old rate by attaching them in hubspot so we can reference them later.
- When everyone is on the same page, implement the change in the PMS
- Send confirmation to owner it has been done
- Create a Task in HubSpot and assign to Ken Hudnall. Title the Task, "Adjust Commission Rate - Owner Name and House #". Set the Task due date for the day the commission reduction term ends. Set a reminder 1 week prior to the due date to ensure it doesn't get missed.
- Close the ticket
Definitions:

Commission reduction Term: period during which new bookings made for all future dates, will have the lower commission.

Dates of The Commission reduction Term: Please disclose the start and end of the commission reduction term in writing to the owner

Commission Rate: Please disclose the original and new rate of commission to the owner.

Existing bookings which were prior made before the Term, are at the original commission. Attach to the message, a list of all current bookings for reference.

The owner will not receive a notification once the commission reduction term concludes
Note on how the commission reduction is implemented during the Term. The new commission rate will be applicable to all new reservations made for future dates during the Commission Reduction Term. Any stays that were confirmed before this period will continue to be subject to the original commission rate, as those bookings were established under the previous agreement.
This is important because the pricing and commission terms that were in effect at the time of booking are fixed and cannot be altered. Changing the commission rate for existing bookings would necessitate adjustments to the entire guest Folio, which could inadvertently trigger messages to future guests or lead to errors.
By maintaining this approach, we ensure a seamless transition while honoring the existing agreements with both the owner and our guests. You will notice the benefits of the reduced commission immediately on any new bookings made until the conclusion of the Commission Reduction Term.
