Vendor Agreement
To ensure a successful and seamless partnership, we kindly ask that you review the following agreement which outlines the key expectations, insurance requirements, and policies that govern our collaboration.
Thank you for your interest in partnering with ACME House Company to provide your services. With a reputation built on excellence and service we have been recognized by industry leaders like Condé Nast Traveler and the Palm Springs Bureau of Tourism. As we manage over 150 exceptional homes in the heart of the desert, we are committed to delivering the highest standards of quality, luxury, and value for our homeowners and guests alike.

Insurance Requirements:
To protect both our business and yours, we require the following insurance coverage:
- General Liability Insurance: Vendors must maintain a minimum of one million dollars ($1,000,000) in general liability coverage per occurrence and two million dollars ($2,000,000) in aggregate insurance coverage.
- Workers' Compensation Insurance: Vendors are required to provide workers’ compensation insurance with a minimum coverage of one million dollars ($1,000,000).
- Automobiles Insurance (if applicable): Vendors providing transportation or using vehicles on the job must provide proof of vehicle coverage.
Endorsement for Additional Insured: ACME House Company should be listed as an additional insured on the vendor’s insurance policies (for liability protection), and should be shown as “ACME House Company, a California Corporation, Its Successors and/or Assigns, PO Box 2833, Palm Springs, CA 92263”.
Failure to provide or maintain these insurance policies may result in no payment and/or the termination of our partnership.
General Information Requirements:
To ensure complete records and compliance with regulatory requirements, we require the following documents:
- Form W-9: Required to collect taxpayer information for reporting purposes
- City of Palm Springs Business License: Required for all vendors doing business in Palm Springs
- Proof of Certification (if applicable): Required from all vendors listed as “Licensed” or “Certified” (e.g., CPO - Certified Pool Operator)
Expectations:
At ACME House Company, we expect all vendors to adhere to the following professional standards to ensure a smooth, high-quality experience for both our team and our clients.
- Professionalism: Every interaction with our team, guests, and homeowners should reflect the high standards that ACME House Company is known for.
- Timeliness: Adherence to deadlines and agreed-upon schedules is critical. Your ability to manage time effectively directly impacts our operations and guest experience.
- Communication: We value prompt, clear, and respectful communication. Any updates, changes, or concerns should be addressed immediately to avoid any disruptions to services or operations.
- Quality of Work: All services provided must meet or exceed our rigorous standards for luxury and quality. You’ll be expected to deliver work that reflects the caliber of our properties and brand.
Payments & Invoices:
ACME House Company operates a streamlined, digital payment system and payments are processed through Bill.com.
- Payment options: We do not process checks, all payments are made via ACH.
- Bill.com: Vendors should set up a subscription-free Basic Receivable account. This will serve as the self-service portal to collect all required vendor information, tax and insurance documents, and banking details for payment processing.
- Breezeway Vendors: Payments are processed weekly (Fridays) for the previous week’s work.
- Invoice Vendors: Invoices should be emailed to ACMEHOUSECO@BILL.COM and may take up to 5-7 days for processing from the time they are received. Invoices need to include a work order number/PO#, correct address, and description.
- If invoices are sent to the wrong email address or have missing information we are not responsible for no payment or delayed payments.
Policies:
To maintain the highest standards of service and ensure the safety of our guests and properties, all vendors must comply with the following policies:
- Safety & Security: Always prioritize the safety of guests, homeowners, and properties. Be vigilant and ensure that all tasks are performed securely.
- Breezeway System: For Breezeway tasks, work must be started and completed in real time, following checklists and requirements as set out in the system.
- Confidentiality: All sensitive information, including guest details and property specifics, must be kept confidential at all times. (See Non-Disclosure and Confidentiality Agreement)
- Alarms: If an alarm is triggered during your work, immediately notify the office and contact the alarm provider to prevent dispatch. You are responsible for any fees incurred due to police dispatch.
- Entering Properties: Shoe booties must be worn at all times when entering properties. Vendors are prohibited from using property amenities. If your service results in any mess, you will be responsible for the cost of cleaning.
- Damage or Burglary: Vendors are liable for any damage or theft that occurs while they are on the property, whether directly caused by the vendor or their team/staff.
- Repairs & Billing: Repairs may not be initiated without prior approval from ACME House Company. Unauthorized repairs will not be compensated.
- Property Access: Vendors must not access a property without a scheduled task. For exterior work, please remain outside the home unless given explicit permission to enter.
