Amenity Assurance Program - onboarding (INTERNAL)

This documentation aims to provide a clear, step-by-step process for conducting amenity assurance inspections efficiently and effectively, ensuring compliance with ACME's standards while highlighting the benefits of our streamlined approach.

Inspection Options

  1. Owner Provides and Installs Everything
  2. ACME Provides and Installs Everything

Note: The entire list must be fulfilled by one party; no split responsibilities

  • Schedule Confirmation: Only schedule the inspection after receiving confirmation from onboarding.
  • Confirm the method of installation (owner-installed or ACME-installed)

 

Inspection Process

Inventory and Labeling 

  • Take an inventory of all amenities.
  • Label the kitchen cabinets starting with #1 at the bottom right and continue upwards and across.  (place the sticker label in a corner, only visible for housekeeping/inspectors)
  • Ensure each cabinet has a unique number.
  • Verify that items are placed for maximum convenience and safety
  • Examples:
    • Do not place glass items on high shelves.
    • Items should be easy to reach and logically placed.

Once organization/installation is complete

    • Place a large number flash card in front of each cabinet (even if empty) corresponding to its custom number.
    • Take a clear picture of each cabinet with its number and organization visible.
    • Upload these pictures into the Amenity Assurance Elements

Handling Missing or Damaged Items

If the Owner Provides and Installs Everything:

  • During the audit: if any items are missing, in poor condition, or mix match  
    • You are authorized to replace/install items up to a value of $500 without approval.
    • Ensure replacements match the required standards; do not accept mix-matched pieces.
    • If the cost exceeds $501, notify onboarding immediately so they can contact the owner for further instructions. 

If ACME Provides and Installs Everything:

  • No approval is needed for replacements or installations, owner approved the cost. 

Post-Inspection

  • Ensure all documentation (pictures and inventory list) is complete and accurate.
  • Confirm that all required amenities are installed and in good condition.
  • Notify onboarding of the inspection completion and any issues encountered.

IMPORTANT NOTES: 

  • Follow organizational guidelines
  • Maintain clear communication with the onboarding team regarding any discrepancies or issues.
  • Do not throw away owner items, place in a box and label "owners items". Place in a secure area 
  • We do not install 50/50. Owners do not ship things for us to install. 
  • Our goal is to complete the inspection in a single trip. This efficiency saves time and resources, ensuring a smooth process for both ACME and the property owners.
  • The pictures provided are used to maintain the organization of each property and hold housekeeping accountable for putting items back in their place.

  • When ACME installs our standard high-quality items, we ensure consistency across all properties. This uniformity upholds our brand’s reputation and ensures that all properties meet our high standards.
  • If ACME installs the amenities, any future replacements can be done by simply installing the missing pieces with matching items. This avoids the need to replace entire sets to prevent mismatched items
  • Notify Maggie if we are low on inventory
