How to Process an Airbnb Booking

Airbnb reservations in Track are “Locked” as they are directly connected to Airbnb so changes or add on’s can only be done in Track and any Occupant changes, Date Changes or Adding a Pet must be done on the Airbnb platform which in turn will update the reservation in Track. 

UNLOCKING a reservation is not allowed except by Management as once it is unlocked no changes made in Airbnb will update in Track



You will receive two emails for each new web order:

  • Email 1: Contains the guest name, reservation number, and stay dates (This can be deleted as this info is also in Airbnb)
  • Email 2: Contains the Airbnb confirmation and itinerary 
    • This information should be copied and pasted in the reservations notes (no category and remove any line spacing to clean it up after pasting this information)

Open the “Contract Management Count Sheet”

Find your reservation on the sheet (This will always be at the bottom of the sheet)

Click the link to the contract (this will open the MuniRev Site to the Specific Property) and complete the Contract.

Copy the contract # they provide and paste in the reservation notes section (no category) and also make a “comment” on the contract management sheet with that contract number so Manager can transfer this information

Tag the Reservation City Contract so everyone knows it was done


All Guest Communications should be done via (Akia, guest communications in Track or on the Airbnb platform as they are very specific about this) - Exceptions to this rule will be Pool Heating Reminders that are sent to SMS.
