Notifying Guests of City Inspections

This article outlines the process for notifying guests about upcoming city inspections: ACME is responsible for ensuring transparency and minimizing inconvenience by keeping guests informed at key points before and during the inspection.

Notification Process Overview

The ACME Team will communicate with guests through three key notifications to ensure they are aware of the city inspection:

  1. Prior to Arrival

  2. On Arrival Day

  3. Day of City Inspection

Notification Messages

1. Prior to Arrival

Message:
Subject: Upcoming City Inspection Notification
"Good morning,
We would like to notify you prior to your arrival that a city inspection will need to be performed on (DATE) at (TIME). An ACME Team member will be there to grant access to the Palm Springs City inspector.
There is no requirement for you to be present, but we do require your permission to enter the property during your stay.
The city inspection should take no more than 10 minutes. During the inspection, it may be loud as smoke detectors will be set up for a few seconds."

2. On Arrival Day

Message:
Subject: Reminder - City Inspection Scheduled Today
"Good afternoon,
We just wanted to remind you that the city inspection will take place today at (TIME). An ACME Team member will be on-site to grant access to the Palm Springs City inspector.
We appreciate your cooperation and understanding during this brief inspection process."

3. Day of City Inspection

Message:
Subject: Final Reminder - City Inspection Today
"Good morning,
This is a final reminder that the city inspection will take place today at (TIME). The inspection should take no more than 10 minutes. Please be aware that there may be some loud noises as smoke detectors are temporarily set up during the inspection."

Key Points to Note

  • Permission Required: The ACME Team must obtain the guest’s permission to enter the property for the inspection.

  • Inspection Duration: The inspection will take no more than 10 minutes.

  • Noise: Guests may experience brief loud noises as smoke detectors are tested.

  • Gift Basket: If the guest is present during the inspection, a gift basket should be provided as a gesture of appreciation. (Do not inform the guest in advance in case we are out of baskets.)

Handling Denied Access

If the guest denies access to the property for the city inspection, notify Kathlina immediately. She will coordinate with the City to reschedule the inspection for an alternative date, ensuring compliance with city regulations and minimizing disruption.

ACME Team Responsibilities

  • Send three notifications to the guest:

    • Before arrival

    • On arrival day

    • On the day of the inspection

  • Provide a gift basket when the guest is present during the inspection. (Do not inform the guest in advance in case of shortages.)
