At Acme, we are continuously assigned tasks to help our fellow team members resolve tickets or close out a deal. There might be moments when we lose track of the tasks we've been assigned or we forget to mark a task as completed.
If this happens, we end up seeing many overdue tasks inside tickets and deals with no context as to if the task was done or if it's an item that still requires attention from the team member it was assigned to.
To ensure we keep on top of any tasks assigned to us, we highly recommend using the Task feature in HubSpot's Sales section.
Please note that a best practice would be completing the process below every Friday to ensure no overdue tasks are left pending.
Completing Overdue Tasks
Once you've accessed the Tasks feature, follow these steps to get visibility on your overdue tasks and complete them:
1. Verify that you're set as the assignee in the Assignee filter.
2. Click on the Overdue tab to get visibility on the tasks you need to complete.
3. Click on the Start X Tasks button on the right-hand side to automatically open the tickets/deals/contact profiles containing your overdue tasks.
4. Review your first overdue task plus the ticket content to determine if the task has been completed and is ready to be checked off.
5. If you can confirm that the task has already been done, click the Complete button on the top right-hand side of your screen.
If you haven't completed the task yet, we highly recommend completing the pending activity at this time and then pressing the Complete button. Using the Reschedule or Skip option should be a last resort.
6. Verify if you need to send a follow-up email or update the customer on their case.
7. If you've resolved the ticket successfully, please set the ticket to Closed to reduce the ticket load and keep our pipeline organized and clean.
8. Click Next to cycle among all your remaining overdue tasks.
9. Continue this process until all your overdue tasks have been completed.
